Copy report settings, hide reports until they're ready, and sync from Power BI folders

📋 Copy settings from another report

Setting up a new report used to mean going through every option again by hand. Now you pick an existing report and copy its settings over. You choose what comes along: card appearance, display and behaviour, bookmark options, comments, access control, assigned user groups and users, and default RLS roles.

Before you apply anything, you see how many settings differ from the report you're copying. Nothing gets overwritten without you seeing it first.

👁️ Hide a report until it's ready

Adding a report to a group made it visible to everyone straight away. The only way to keep it out of sight was to delete it. Every report, PDF and AI agent now has a "Visible to users" switch. Turn it off and the item is hidden from all viewers while you finish it. Assignments stay in place, and subscriptions pause until you make the item visible again.

📁 Sync report groups from a Power BI folder

Workspace sync could only pick up an entire workspace. You can now point a report group at one folder inside the workspace, and choose whether nested folders are included. Leave the folder empty to keep syncing the whole workspace.

📝 Management forms keep your input when saving fails

If a save failed, you got a generic error and lost everything you'd entered. Your input now stays in the form, so you can fix the problem and save again. The error message also tells you what went wrong, for example that the database can't be reached or that the connection settings need checking.

⚙️ Always start on the overview after login

After logging in, you land on the report or item you last opened. That's handy for some organisations, but not every one wants it. A new organisation setting turns it off, so everyone starts on the overview page.

🔑 Clearer activation links

An expired activation link used to end in a dead end. You now go straight to a page where you can request a new link. If the link was already used, you're told your account is active and sent to the login page.

🔧 Also fixed
  • In the assignment matrix, you can now always remove a user group from a report group, even when one of the reports in that group uses row-level security.

  • On iPhone and iPad, where fullscreen isn't supported, the fullscreen button no longer appears. It used to show up there and do nothing when tapped.

Landscape mode on mobile, hidden pages in export, and steadier subscriptions

Turn your phone or tablet sideways and the app follows. Wide reports and broad tables get the room they need, instead of being squeezed into a narrow portrait column.

🎨 Your card styling now shows up on mobile

The colours, backgrounds and icons you set for your report cards in the web app now render in the mobile app as well, so your people see the same product on both.

📄 Export pages that are hidden in a report

Hidden pages never appeared in the export screen, so when somebody needed one there was no way to get it out. A new report configuration option makes every page available for export, hidden ones included. You decide this per report.

✨ Smaller things

The "Switch company" button is now called "Switch organisation", which lines up with the wording everywhere else. On Android the app makes better use of the screen: reports run closer to full screen, the bookmarks panel stays inside the view, and the top bar no longer disappears behind the keyboard while you type.

Report links open in the right organisation

Report links open in the right organisation

Someone sends you a link to a report. It sits in a different organisation than the one you are working in, so the link does not take you anywhere useful. You have to spot the mismatch yourself and switch across before the report will load.

That is now handled for you. Opening the link takes you straight to the organisation the report belongs to, and a notice tells you the switch happened, so you always know which environment is on screen.

Also in this release

Two display fixes in the report viewer: full screen now behaves as it should, and a scrollbar issue has been resolved.

Sort management forms on any column

A short one this week, with one improvement people asked for and one fix.

📊 Sort on any column in management forms

Every column header in a management form is now clickable to sort. Order by date, by status, by name, by whichever column you actually work from, and find the record you need in one click instead of scrolling a long list.

Sorting applies to the column you pick, so you can keep switching until the list is in the order that suits the task in front of you.

🔧 Also fixed

Sending a test mail from your own SMTP settings failed inside a sub organisation. That is resolved, so you can verify your mail configuration in every organisation before you switch it on.

Subscriptions you run yourself, and a report library that looks like yours

📬 Subscriptions

Set up your own subscription, without waiting for an administrator. Report subscriptions used to be something only administrators could configure, on behalf of everyone else. You can now switch this on per report configuration, and end users get their own subscriptions tab. The tab only appears where you enabled it, so nothing changes for the reports you would rather keep centrally managed.

Send to people outside the platform. A subscription can now include external recipients (included in the scale package). The accountant, the client contact or the board member who only needs the monthly export receives it in their inbox, without needing an account.

Every run leaves a trace. Scheduled sends and manual test runs are both logged, including runs that start and then fail. Open the log from a single subscription, or see every subscription belonging to a report configuration in one overview. The activity log you used to reach from the dashboard now lives in that same screen.

🎨 A report library that looks like yours

Custom icons on report groups. Give a report group its own icon, so people recognise it before they read the label.

Report cards you can style. Upload an image as a tile background, change the tile colour, choose the card size, and decide which details appear on the card, such as the name and the description.

DataTako now features global card styling for Power BI report, PDFS, AI chats, folders and management forms as well as the ability to override styling on individual cards.

Extended customer API

The customer API now features the abilility on all GET endpoints to also retrieve data from suborganisations (if enabled on the API key). Read more here: https://docs.datatako.com/features/datatako-api/

🔧 Smaller fixes

The report icon in the menu now shows consistently, instead of alternating with other icons.

Smoother user imports, clearer role setup, and better multi-organisation navigation

A smaller week, focused on friction people ran into during setup.

Importing users with the Viewer role

Importing users from the Excel template ignored the Viewer role, so the only way to get it applied was through the override setting. The role in your template is now respected as written — no workaround needed.

RLS roles now appear for the Editor role

When configuring a report as an Editor, the row-level security dropdown came up empty. RLS role names now load correctly, so you can assign them without switching accounts.

Switching organisations takes you to the right domain

If you manage several organisations on their own custom domains, switching between them kept you on the original domain — leaving it unclear which environment you were actually in. You now land on the custom domain of the organisation you switched to, and you stay signed in.

  • An issue affecting external recipients of report subscriptions.

Magic link sign-in, upgraded logging and customer API upgrades

Another solid one. Signing in gets a lot easier, your activity log gets a lot more detailed, and the API can finally manage users instead of just reading them.

Sign in without a password

You can now sign in with a magic link. Enter your email address and we'll send you a 6-digit code plus a direct sign-in link. No password to remember, no password to reset.

A few things worth knowing:

  • New users can activate their account and get straight in without ever creating a password. Prefer one anyway? You can set a password later from your profile.

  • You can steer individual users to a specific sign-in method (password, Microsoft 365 or magic link) on the user page or through the API. Leave it empty and their first choice becomes their default.

  • You decide which methods your organisation sees. Hide the ones you don't want under Settings → Appearance → Login. At least one method always stays visible, so you can't lock yourself out.

  • On a custom domain the sign-in link uses your own domain.

The sign-in screen itself is now email-first: you type your email address, and we show you the methods that apply to you.

Your activity log now tells the whole story

The activity log used to tell you who opened which report. It now tells you what they did, where they did it from, and under which permissions.

Every entry records the action (open or export), the source (web, mobile app, public embed, external embed or AFAS), the IP address, the browser or device, and the RLS roles that were actually applied for that user on that view. And it's no longer limited to Power BI reports: PDFs, files and AI agents are logged too.

Together with the Power BI embed token ID, that gives you a complete audit trail you can join with the Power BI activity log. Handy detail: entries created before this release keep their old values, so anything from today onwards is the full picture.

The API can now manage your organisation

Until now the customer API could read your content. It can now do the administration as well.

  • Users: list them, create or update a user by email address (name, role, group memberships, language, default sign-in method, with or without an invitation email), and delete them.

  • User groups: create, rename, delete, and add or remove members by email address.

  • Assignments: read report groups per user group, users per user group, and content per user group and per report group.

  • Activity log: retrieve it with date filters and paging.

  • API request log: every API call with endpoint, status code, duration and error message, so you can check whether your nightly sync actually did what you think it did. Ask for only the failures if that's all you need.

Other changes

  • Management forms now have a description field, so you can explain the form to the people filling it in.

  • The search function can be switched off per organisation under Settings → Appearance → Layout.

  • AI agents on the newest Claude models were failing on every request. Fixed. System prompts also got roomier: 16,000 characters instead of 8,000.

AI agents, folders and public sharing

Big release this time. The two features we teased in the last update are here, plus something we've been quietly building for a while: AI on your reports.

Ask your reports anything with AI agents

You can now add a conversational AI assistant to your Power BI reports. Your users ask questions about their data in plain language and get instant answers, tables and charts, right next to the report.

A few things worth knowing:

  • Bring your own key: connect your own AI provider (OpenAI, Azure Foundry, Azure AI or Anthropic), so you stay in control of the model, guardrails and the costs.

  • Attach agents to reports: configure an agent once and attach it to the reports where it makes sense. There's also a standalone chat view for questions that aren't tied to a single report.

  • Budgets and usage: set spending budgets per agent and keep an eye on usage from the management screen, so there are no surprises on your AI bill.

This is a big one for us, and we'd genuinely like to hear how it works on your data.

Folders are here

As promised: you can now create folders (and subfolders) within report groups to organize your reports and PDFs. Your users navigate with the new folder tree and breadcrumbs. Large report groups finally stay tidy.

Share reports publicly

Sometimes a report needs to reach people who don't have a DataTako account. With public sharing you can now embed a report through a public link, no login required. You control the layout, and you can regenerate the link at any time to instantly cut off old access. We've also added clearer messages for viewers when a report is temporarily unavailable.

Other changes

  • Several fixes for Microsoft Entra user sync, including handling of disabled users and a crash when adding new users.

  • Various improvements to the mobile layout.

The DataTako mobile app for iOS and Android is in the final stretch. The mobile improvements above are part of that work. Release date is coming soon.

Faster Switching & Easier access controls

Last month was a busy one! We’ve been working hard on making your workflow smoother with a few big quality-of-life upgrades. Here is a look at what’s new.

Find your suborganisation faster

If you’re managing multiple environments, you know that scrolling through a long list to find the right organization can be a pain. We’ve added a search bar directly into the organization switcher.

Now, you can just start typing the name of the workspace you need and jump straight into work. It’s a small change that saves a lot of clicking time every single day.

Manage permissions at scale with the Assignment Matrix

Gone are the days of manually clicking into every single report to assign users or groups. We know how tedious that was, so we built the Assignment Matrix to give you a bird's-eye view of your permissions.

With this new interface, you can:

  • Save time: Bulk assign multiple reports to groups or individuals in one view.

  • Reduce errors: Easily spot who has access to what without toggling between different screens.

  • Stay organized: Manage complex permissions for large teams without the headache.

Other changes

  • In some cases when refreshing a dataset it was not clear that all concurrent refreshes were in use. That is now clearly stated.

  • DataTako now supports very complex chained semantic models where one model might use RLS and the other doesn't. This now works out of the box!

  • For unactivated users, you can now manually copy the activation link from the user management screen. With this you can provide easier support if a user is unable to access their mailbox themself.

  • There was an issue with automatic report syncs in suborganisations, this has now been resolved.

Coming up

We are currently finalizing a new set of upgrades to DataTako. The most important ones are the ability to create folders within report groups to further organize reports and PDF's. The other one is the upcoming release of the DataTako mobile app for iOS and Android. This app allows you not only to view reports, but also manage most parts of the environment, all from your phone. Release date is coming soon.

  • Share the exact view with Deep-Linking: No more telling colleagues to "click on the third tab." Now, when you swap pages in a report, the URL updates automatically. Just copy the link, and your team will land on the exact page you’re looking at.
